✅ Blazing-Fast Performance – Thanks to server-side pagination and lazy loading
✅ Sleek, Modern UI – A cleaner look with improved navigation
✅ Quick Actions – Right-click invoices for instant access to key functions
✅ Smarter Allocations – Grouped by type for easier management

This guide will walk you through all the updates so you can hit the ground running. Let’s dive in!
App Switcher
We’re excited to announce that the New Invoices UI is now available under the app switcher as "AP Autopilot."
The previous Legacy UI will still be available for the next two weeks (until May 20th), giving you ample time to transition to the new interface. After that, the Legacy UI will be retired.
Folders Page
The Folders page retains the same functionality as before but features a more streamlined and modern interface.
Invoices Listing Page
What’s New & Improved:
-
Faster Performance:
The page now uses server-side pagination, significantly improving load times and reducing browser strain.
Additionally, lazy loading has been implemented—this means data is loaded only when it’s needed, enhancing responsiveness. -
UI Enhancements:
-
Clean and modern interface
-
Filter invoices by date range
-
Switch between status folders (e.g., Approved, Pending, Rejected)
-
Rearrange table columns to customize your view
-
Quick and intuitive search functionality
-
New Right-Click Menu on Invoices:
Right-clicking an invoice reveals quick actions:
-
Edit Invoice
-
Download
-
Add Approver
-
Move to a New Folder
-
-
Task History
-
Delete
Inside the Invoice
What Remains the Same:
-
All default settings, mappings, and automation rules remain intact.
-
Summary fields mirror the original UI layout.
-
Top-right action buttons still include:
-
Reanalyze – Reprocess the invoice for data extraction
-
Move – Transfer invoice to a different folder
-
Task History – View rule execution and workflow history
-
Assignees – View and manage assigned team members
-
Delete – Delete the invoice (Note: Recycle bin feature coming soon!)
-
Download – Save a copy of the invoice as a PDF
-
Allocations
New Inline View:
-
Allocations now appear in a drag-adjustable panel at the bottom of the invoice.
-
All allocations are grouped by allocation type (e.g., Job, Cost Code), simplifying the interface.
Why This Matters:
Fewer than 5% of invoices include multiple allocation types, so this layout prioritizes ease of use for the majority of users.
Allocation Controls:
-
Plus Button (+): Add a new line within the current allocation type
-
Folder Icon: Add a new allocation type group
-
Delete Group (Trash Icon): Remove entire allocation group
-
Expand/Collapse Arrows: Manage the view of grouped allocations
-
Trash Icon (per line): Delete an individual allocation line
All fields and dropdown options remain consistent with the previous version.
Line Item Allocations
-
The layout is now table-only, with a cleaner design.
-
Functionality remains consistent—choose allocation type from the dropdown, fill in fields as usual.
Line Items
-
Now exclusively presented in a table view for a more focused and readable layout.
Mappings
Standard Mapping (Unchanged):
-
Click the Plus (+) button beside a field to map data extracted by our OCR engine.
-
Select from available extracted fields in the mapping dialog box.
New Feature: Map with Otto (AI-Powered Assistant):
Meet Otto:
Otto is Briq’s AI assistant that leverages language models like LLaMA to extract and transform invoice data. View the full Otto Help Article! 🧠 Extract with Otto: Your AI-Powered Mapping Assistant
How to Use Otto:
-
Tell Otto where to look:
-
e.g., “The PO Number in the top right corner of the page”
-
“The customer number in the top middle”
-
-
Tell Otto how to transform the text (optional):
-
e.g., “Make it all capital”
-
“Add -1 to the end”
-
“Remove all hyphens”
-
Example Prompt:
“Take the left 5 characters of the customer No., make it all capital and remove the hyphen.”
Extract with Otto is currently available to use on summary and line item fields.
🛈 Tip: You may need to refine your prompt a few times to get exactly what you want—but Otto can help map even hard-to-grab fields with powerful customization.
Returning to AP Autopilot (Legacy)
To switch back to the old UI, simply click on the profile icon in the bottom left corner of the screen. There, you’ll find the toggle option to "Switch to V1".
